MRN Alias Management Tool

MRN Alias Management Tool

Enterprise identity console for managing MRN aliasing, survivorship, and authoritative identifier selection across systems and facilities.

MRN Alias Management Tool

The MRN Alias Manager provides HIM and EMPI teams with a centralized workspace to view, reconcile, and govern patient identifier relationships across the enterprise. It detects conflicting or redundant identifiers, visualizes alias chains across EMRs and registries, and applies survivorship logic to determine authoritative MRNs, all with full provenance and auditability.

Why it matters

As patients move across hospitals, clinics, and affiliates, multiple MRNs often follow them through interfaces and local registrations. Without centralized alias management, this creates fragmented identity chains, duplicate records, and unreliable longitudinal views. This app unifies MRN relationships under governed survivorship rules, ensuring each patient has a single authoritative identifier recognized across all connected systems.

Benefits

  • Improved identity integrity: Consolidates multiple identifiers under a single authoritative MRN per patient.
  • Reduced duplication: Detects and resolves conflicting or overlapping identity links before they propagate through downstream systems.
  • Streamlined governance: Applies policy-driven survivorship logic and documents every change with full traceability.
  • Cross-enterprise visibility: Displays alias relationships across EMR, registration, and external registry layers.

Capabilities

  • Alias visualization: Graph view of MRN chains across facilities, registration systems, and EMPI sources with conflict highlighting.
  • Survivorship engine: Determines authoritative identifiers based on configurable weighting (source priority, recency, validation status).
  • Duplicate detection: Identifies collision patterns from inbound ADT and identity feeds using match/confidence thresholds.
  • SMART on FHIR launch: Supports contextual record review and identifier updates from within EMR or registry workflows.
  • Manual override and review queue: Enables authorized HIM analysts to adjudicate exceptions and override algorithmic outcomes.
  • Audit and provenance tracking: Captures all merges, unlinks, and overrides using FHIR Provenance and AuditEvent for defensible history.
  • Survivorship analytics: Displays merge frequency, conflict rate, and authoritative source distribution for governance dashboards.

Great for

  • HIM and EMPI Analysts: Resolve identifier collisions and visualize MRN alias relationships across facilities with survivorship tracking and audit-ready documentation.
  • Data Governance and Identity Integrity Leads: Enforce enterprise survivorship policies and ensure consistent authoritative ID selection across systems and jurisdictions.
  • Interoperability Architects: Align identity workflows with IHE PIX, PDQm, and FHIR $match standards for scalable cross-system identity resolution.
  • Compliance and Quality Officers: Maintain defensible audit trails for all alias and merge actions, supporting HIPAA and organizational integrity policies.

Integration & Standards Alignment

  • FHIR R4 compliant (Patient, Provenance, AuditEvent, Task, Link)
  • Supports IHE PIX, PDQ, PDQm, and XCPD for cross-enterprise identity management
  • Compatible with EMPI platforms such as NextGate, IBM Initiate, and Verato
  • Integrates with ADT/registration interfaces, HL7 v2 A28/A31/A40 events, and FHIR-based identity feeds
  • HIPAA-aligned and compliant with ONC 45 CFR §170.315(d) for audit and traceability

Outcome Metrics

  • ↓ reduction in duplicate MRNs across linked facilities
  • ↑ improvement in identity match accuracy using survivorship rules
  • ↑ faster resolution of identifier conflicts and registration collisions

Interops Team delivers IHE interoperability built on Connectathon-tested PIX and PDQ profiles, ensuring enterprise-grade identity integrity across HL7 v2, HL7 v3, and FHIR.
