Legal Hold Dashboard

Dashboard for managing, tracking, and auditing legal holds on patient and operational records.
Legal Hold Dashboard
Legal Hold Dashboard

The Legal Hold Dashboard provides HIM, Legal, and Compliance teams with an enterprise-wide view of records placed under legal hold. It flags and locks affected records, tracks hold status and expiration, and documents the responsible parties and reason for each hold. This ensures that all data subject to litigation or investigation remains intact, discoverable, and defensibly managed.

Why it matters

When litigation or investigation is pending, organizations are legally required to preserve relevant information without alteration or deletion. Manual tracking exposes risk of accidental release or modification of held data. The Legal Hold Dashboard automates oversight, providing a structured, traceable workflow that satisfies discovery requirements, HIPAA retention standards, and corporate record policies.

Benefits

  • Protects records under legal scrutiny: Locks data and documents across systems to prevent edits, deletions, or inadvertent release.
  • Supports compliance and risk mitigation: Ensures defensible retention and alignment with HIPAA, OCR, and legal discovery requirements.
  • Improves visibility and accountability: Centralizes tracking of active holds, responsible parties, and expiration dates for Legal and HIM oversight.
  • Reduces administrative burden: Eliminates spreadsheets and manual communications through automated flagging and alerts.

Capabilities

  • Legal hold flagging: Identifies affected records based on case ID, subject, or keyword matching.
  • Record locking: Enforces read-only status for held data across EMR, document management, and archive systems.
  • Hold status tracking: Displays active, pending, and expired holds with escalation alerts as deadlines approach.
  • Responsible party assignment: Links each hold to designated Legal, HIM, and Compliance owners.
  • Audit trail and export: Maintains detailed history of hold creation, modification, and release with exportable reports in CSV or FHIR AuditEvent format.
  • Governance workflow: Includes hold authorization, approval, and release steps with digital signatures and timestamps.
  • Integration hooks: Connects to EMR document control, legal case management, and record retention systems.

Great for

  • Health Information Management (HIM) Teams: Flag and lock records under legal hold, assign ownership, and track hold lifecycle across all departments and systems.
  • Legal & Risk Management Teams: Manage and document all records tied to litigation or investigation with defensible oversight and audit-ready reporting.
  • Compliance & Privacy Officers: Maintain HIPAA- and OCR-aligned governance for held records, ensuring transparent handling and timely release once obligations end.
  • IT & Information Governance Teams: Implement system-level record locks and verify integrity through automated monitoring and alerts.

Integration & Standards Alignment

  • FHIR R4 compliant (Task, AuditEvent, Provenance, DocumentReference)
  • Supports IHE ATNA for audit trail integrity and nonrepudiation
  • Integrates with EMR, eDiscovery, and records retention systems
  • HIPAA-aligned with 45 CFR 164.530(j) and litigation hold best practices
  • Optional linkage to legal case management platforms via REST APIs

Outcome Metrics

  • ↓ reduction in manual tracking and hold coordination time
  • ↑ faster identification and locking of affected records
  • ↑ improvement in audit readiness and compliance confidence
